A practical memorial invitation workflow for funeral-home staff

Before the first invitation
Apply using your funeral home’s business details and verify the business email address. Held in Memory reviews each complete application before purchasing and invitation access becomes available. We aim to complete that review within one business day.
Once approved, the account owner can purchase a pack of Premium memorial credits through Stripe Checkout. Purchased credits currently have no scheduled expiry; the service availability terms still apply.
What a staff member enters
The invitation form asks for the family contact’s name and email address and the name of the person being remembered. One credit is reserved when the invitation is created.
Only invite someone your business has a legitimate, recent reason to contact. Keep private stories, medical information and other sensitive memorial content out of the invitation form.

What the family receives
Held in Memory emails a secure private link explaining that the funeral home has provided access to a Premium memorial. The message says there is nothing for the family to pay and that the memorial will belong to them.
The family creates a Held in Memory account or signs in to an existing one, accepts the invitation and then builds the memorial in its own time. The funeral home cannot see the password or edit the page.
Pending, claimed and expired invitations
The partner dashboard shows the invitation details entered by the funeral home and a simple status. It does not expose the memorial’s photographs, story, drafts, visitor tributes or privacy setting.
- Pending: the credit is reserved while the secure invitation is open
- Claimed: the credit has been used and the family controls the Premium memorial
- Expired: after 30 days, the reserved credit returns to the partner balance
- Resent: a pending invitation receives a new secure link and a fresh 30-day window without using another credit
A useful staff handover
A short internal note is usually enough: who is authorised to send invitations, when the family should be offered one, and who checks failed or pending delivery. The dashboard keeps the operational record in one place.

Common questions
Does sending an invitation publish a memorial?
No. The family must claim the invitation, create or sign in to its own account, add content and choose when and how the memorial is published.
Can we correct a pending invitation?
Yes. An authorised partner user can edit or resend a pending invitation. The secure link is refreshed without reserving another credit.
What happens if the email cannot be delivered?
The dashboard identifies a delivery problem so an authorised user can correct the address or resend. A credit is not silently consumed as a claimed memorial.
Can more than one staff member use the partner workspace?
The account owner can invite staff and choose whether each person may invite families, purchase credits or view financial information.
